Calendar & events

A smart meeting management and check-in module built directly into MCP Connect.

Overview of the workflow

A meeting follows a complete lifecycle: schedule it → send invites (members RSVP or delegate a substitute) → check in via dynamic QR or NFC tap at the door → AI helps draft the minutes → attendance is reported by department.

Calendar & meeting details

The calendar has 3 views (day/week/month), a spotlight card highlighting the meeting currently in progress with a real-time check-in progress bar, and meetings grouped by priority: in progress → today → tomorrow → upcoming. On each meeting's detail page, members can RSVP or delegate someone else to attend, jump straight into the online meeting link (Zoom/Meet/Teams), track attendees by check-in status, and download attached documents.

Creating & configuring a meeting

When creating a meeting, the host can invite individual people or whole departments (either just representatives or everyone), set up a recurring schedule (daily, weekly, or monthly), and customize the "check-in window" — how much time before and after the start time still counts as a valid check-in.

Secure check-in

The system supports several check-in methods:

  • Dynamic QR code — shown on a large screen, automatically refreshed every 30 seconds with a visual countdown, encrypted to prevent someone from photographing and forwarding the code; attendees scan it with their phone camera or right inside the MCP Connect app.
  • NFC tap — for offices with a card reader at the entrance, a simple tap of an employee or student card records check-in instantly.
  • Face ID scan — for check-in points equipped with facial recognition cameras, attendees simply look into the frame and the system recognizes them and records check-in instantly, no card tap or code scan needed.
  • Manual entry — if an attendee forgot their card or hits a technical issue, the host or admin can search their name and record it directly from the control screen.

Linked meetings — automatic check-in inheritance

For a chain of related same-day meetings (for example a department meeting followed right after by a company-wide one), when creating a meeting (not available for recurring meetings) the host can turn on "Linked meeting" and pick a same-day source meeting whose check-in window is expected to end before this meeting starts. Once the source meeting's check-in window closes, the system automatically marks people who checked in there (present or late) as present here too — no need to scan a card or code again.

  • Only applies to people invited to both meetings — it never adds new attendees to the linked meeting.
  • Inheritance runs automatically after the source meeting's check-in window ends, not right when you save the meeting.

In reports and the meeting room, these inherited check-ins are labeled "Automatic (inherited)" to distinguish them from a direct check-in.

Notifications & reminders

The system automatically sends notifications for key moments: new meeting invites, schedule changes, meetings starting or in progress, meetings ending or cancelled, new documents, or a successful check-in — across the app, Zalo OA, and email. Scheduled reminders (e.g. 5 or 15 minutes before) go out automatically through all three channels at once.

AI meeting minutes

After a meeting, the host can create minutes several ways: recording directly in the app, using a recording file from Google Drive, pasting notes for AI to organize, or uploading a ready-made minutes file (.docx/.pdf). AI (Gemini) transcribes speech to text and summarizes it into a complete set of minutes. Minutes follow a clear approval flow: Draft → Pending review → Published (only organization admins can publish or recall them), and can then be exported as Word or PDF using the organization's own template.

Calendar sync

Your calendar syncs in real time, two ways, with your personal Google Calendar (any change to time, location, or cancellation updates instantly), offers a one-tap "Add to Google Calendar" button, and supports an iCal link for Apple Calendar or Outlook.
